Management Assistant with first experience of 3 to 5 years: your function

  • Manage Agenda & Email
  • Arrange travel and accommodation for business trips
  • Organize various internal and external meetings
  • Handle incoming calls
  • Database management and filing of documents
  • Support with follow-up of projects from A to Z:
    • Insert data in internal CRM tool and adjust as needed
    • Follow-up on contracts and other official documents
    • Monitor client hours and expenses
    • Assist with preparation of invoices and follow-up of collection
  • Support the administration of partner’s activities:
    • Create new clients in the system
    • Draft contracts/proposals
    • Input and update contact details
    • Support with submitting timesheets and expense notes
  • Act as a back-up to other management assistants in the team
  • Various related administrative and support tasks as required.

Management Assistant with first experience of 3 to 5 years: your profile

  • Bachelor or Master degree in a relevant field (Office Management, languages, etc), or equivalent by experience
  • Relevant, solid experience (3 – 5 years) in a similar support role (executive assistant, management assistant, personal assistant, team assistant, office manager) . Dynamic job starters are also welcome to apply!
  • Absolute fluency in Dutch, full professional proficiency in English and average French.
  • Excellent knowledge of the MS Office package (Word, Excel, PowerPoint, Outlook)
  • Good communication skills and proactive attitude
  • Hands-on and well organized, sense of responsibility, eager to learn
  • Experience in a professional services firm, in a law office or in the financial services industry is a major differentiator.
