Management Assistant

Your function

For our client, a big consultancy firm located in Zaventem, we’re looking for a Management Assistant to support the Manager of the M&A Team. You’ll be responsible for a wide range of administrative and organisational tasks.

What you’ll do and learn:

  • A to Z agenda management: appointment and meeting coordination, room reservations, organisation of conference calls and follow-ups
  • Mail and email management: review and process emails and inquiries on your own initiative and prioritise actions to take
  • Handle telephone calls: take clear messages, transfer calls, assess urgency, answer questions and follow up to maximise client service
  • Arrange and book internal and client meetings
  • Take minutes, maintain records of meetings and ensure action points are followed up
  • Organise and follow up on travel arrangements and documents
  • Keep databases up-to-date
  • Prepare outgoing mail and reports using templates
  • Prepare presentations in PowerPoint/Google slides, review existing presentations for spelling and layout or transpose flip charts into PowerPoint/Google slides
  • Manage filing

And going the extra mile...

  • Coordinate a small team of assistants
  • Work in tandem with the Manager/Partner: prepare presentations (not only on a executive way but also on the content), be involved on reporting / budget related tasks, follow up cases and be in contact with external parties
  • Take initiatives, think out of the box, problem-solving attitude
  • Learn more about Merge & Acquisitions

Your profile

  • Very good command of MS Office, Google Suite and the ability to work with several internal databases
  • Bachelor’s degree or equivalent experience
  • Fluent in French and English, with a good command in Dutch (written and spoken)
  • Outstanding diplomatic and interpersonal skills (in writing, on the phone and in person)
  • High-energy
  • Multi-tasker (achieving maximum time effectiveness)
  • Ability to work independently, accurately and precisely
  • Ability to handle sensitive information with high level of confidentiality and discretion
  • Service-oriented and team player
  • Have a drivers' licence B (occasionally working with the Manager from Ghent of Antwerp)
