We are looking for a junior Management Assistant with excellent English, and French or German, to join the European Committee for Standardization (CEN) and the European Committee for Electrotechnical Standardization (CENELEC) in Brussels.

Votre fonction

Main Responsibilities:

  • You will report to the Manager - Director General’s Office (DGO) and also be a direct support to the Director General
  • You will work closely with the team of “Personal Assistants” to the Directors of the organization
  • You will support and assist the Director General and the Manager of the DGO and when relevant other Directors, and the Officers or the Associations
  • Monitoring information flow: sometimes acting as a gatekeeper, ensuring any Director’s timely involvement in a project or decision-making process
  • Provide logistical and operational support for the Governing Bodies’ meetings such as Presidential Committee, Administrative Boards and General Assemblies; as well asannual meetings (setting of the rooms, registration, social events…)
  • Understand the governance internal workflows and quality system to support the DGO Manager with the maintenance and update

Your Day-to-day projects and tasks include:

  • Administer the Director General’s office such as registration, filling and distribution of incoming and outgoing correspondences, ensuring timely editing, finalization, delivery and distribution of supporting documents for the governance meetings
  • Keep data of the governing bodies and members up to date
  • Update the Corporate calendar online
  • Support the participation of the Director General, and Presidents, when relevant in meetings (calendar, documents, briefings, notes, minutes, follow-up actions, travel arrangements)
  • Coordinate and draft the DG Newsletter on a monthly basis
  • Support the Director General and the Manager DGO in additional activities when required

Votre profil

Technical skills

  • Bachelor Degree in Office Management, Business Administration or related field, or equivalent professional experience (3 years)
  • Experience in a membership organisation or in a European organization is considered as an asset
  • Outstanding knowledge of English, and French or German and be highly proficient in verbal and written communication in both languages
  • Understand business protocol
  • Proficient in all Windows applications specifically, Office 365, Outlook, Word, Excel & PowerPoint and other IT applications

  • To be ready to work out of office hours as required (some Governance meetings abroad/year)

The organisation is ideally situated in 1040 Brussels and easily accessible by public transport.
